AUTOMATE TIME TRACKING

When it comes to tracking your time, I know a lot of business owners hate it and find it rather tedious.

I don't just keep my time to show clients how long I'm spending on tasks; I also keep my time so I know how long tasks are taking me.

It's important to know how long something takes, especially if it's a repetitive task you do often.

PRO TIP: A lot of the time clocks that I've worked with have extensions and apps that connect to other apps. Unfortunately, they are not very reliable and are pretty glitchy. Use them with caution.

If you're looking for a good time tracking app, my team and I use Clockify, but I also recommend Toggl and TimeCamp.


THE ONE HOUR WIN

Do I really need scientific proof to tell you that having a messy desks lowers your productivity? I mean, if you really want it, hit reply and I'll send you something, but I think we've all felt the effects.

Today's One Hour Win is to take a good look at your workspace and spend one hour cleaning it up.

If you're anything like me, that sounds like an absolute nightmare because your desk has been accumulating the things you and your kids didn't want to deal with for weeks.

Here's my pro tip: Don't force 1 hour all at once.

When I clean up my workspace, which I do a couple of times a month, I like to break it up into 15-minute intervals. I play 3-4 songs, set a timer on the Alexa, or watch a 30-minute episode of a show on Hulu and get to cleaning. When it's time for my break, I go outside, get a drink, use the bathroom, walk around, or whatever I need to do to clear my mind and breathe. Then I go right back at it.

DELEGATION INSPIRATION

EMAIL TRIAGE

Believe it or not, email triage is the first thing I recommend business owners delegate.

Why? It's easy and it makes a huge impact.

What is it?

Email triage is where you sort and prioritize emails.

Of course this requires a system, but it's very easy to set up and document. As soon as it's documented, you can delegate it to a virtual assistant.

Here's what your VA will do:

  • Identify emails in your inbox that are unimportant.
    • Delete or archive these emails.
  • Identify emails in your inbox which need immediate attention.
    • Determine a way to flag these and bring them to your attention. I use labels and multiple inboxes.
  • Identify emails that need read, but not immediate action.

This is the most simple version of inbox management. Depending on the VA and their understand of your business, they may also respond to certain emails on your behalf, or as themselves, often using pre-determined templates.

If you're looking to delegate, I highly recommend you start with inbox management and email triage.
